MBA Series 3:
The MBA Series 3 accounting familiy is a complete line of accounting products designed for use in all types of businesses: Printing, banking, retail, government, schools, and accounting and consulting firms, to name a few. These include a System Manager, General Ledger, Accounts Receivable, Accounts Payable, Payroll and Check Reconciliation. These modules can stand alone, or operate as a completely integrated system. You can also run this software on a single computer, or in a networked environment.

Requires Windows XP or better, screen resolutions of 1024x768 or better, mouse, at least one printer (dot matrix printers not recommended), and 2MB of free memory.



General Ledger

MBA SERIES 3 General Ledger is the foundation of your accounting system. It processes all of your accounting transactions. Subsidiary ledgers are integrated with the General Ledger, and may be posted automatically from Accounts Receivable, Accounts Payable, and Payroll modules. Excellent budgeting and reporting capabilities allow you to maintain control of your business at all times.

You may adapt any existing account numbering scheme into the General Ledger Chart of Accounts. It is very flexible: account numbers can be up to 15 characters, with free-form segmentation for department usage. You may also choose from over 50 predefined Chart of Accounts when setting up your system. The General Ledger module provides your management with the valuable financial information that is necessary to run your business.

Included a very powerful and flexible financial statement generator that makes it easy for you to generate and modify your financials. The system prepares and prints balance sheets and profit and loss statements for up to 18 accounting periods, which may be processed concurrently. This allows current year posting while adjusting the prior year's books for up to two full quarters after the end of the fiscal year. Prior year and budgetary data is also maintained to provide comparative management analysis reports.

Accounts Payable

MBA SERIES 3 Accounts Payable helps manage cash flow by tracking vendors, recording purchases, and printing checks. Powerful reporting capabilities provide you with a simple method to keep track of and control your expenditures. Accurate information on money owed to creditors, due-dates, and available discounts is easily accessible.

The Accounts Payables system performs payables accounting and cash requirements management. Flexible aging and cash requirement reports list unpaid invoices for each vendor, enabling you to analyze and revise scheduled cash disbursements. Invoices, credit adjustments, and debit adjustments can be simply produced. Invoices can be selected for payment using our flexible automated process. Print checks using one of the many check formats that are available to fit your needs. Generate prepayments when needed, and void checks or reprint when necessary.

Unlimited expense account distributions are available for each invoice. Up to 8 default expense accounts with percent allocations may be set up for each vendor. Vendor checks may be printed with detail or summary remittance/check stubs. MICR check processing is also available for printing on blank check stock. Information is provided to meet government reporting requirements for 1099 processing.

The extensive reporting capabilities within MBA Accounts Payable will provide you with the information you need to accurately and easily maintain your payables. Multiple sort and filter options give you great flexibility.



Accounts Receivable

MBA Series 3 Accounts Receivable is a powerful cash and credit management system. It is designed to provide you with up-to-date information about one of your most important assets your customers' accounts receivable balances.

You can easily produce invoices, credit memos, and debit or credit adjustments. Cash receipts and prepayments can be applied to specific invoices or to the oldest invoices first. Automatically calculate finance charges. User-defined aging periods can be set up for aging your customer's balances. Print Statements by billing cycle to ensure that your customers receive up-to-date information about their balances. Preliminary statements can also be printed or previewed prior to the actual production of statements.

Collection letters that automatically list the amount past due can be printed for each customer. Access to customer information is simple and efficient. You can look up a customer by sort name, contact name, sales rep, customer code, phone number, or ZIP code. Sales analyses, statistics, and history are available at the press of a button. Customer codes of up to 9 characters can be created to uniquely identify your customers. This allows flexibility for a variety of coding systems and is large enough to accommodate social security numbers. Credit limits provide a simple method to warn you of potential problems.

The extensive reporting capabilities within MBA Accounts Receivable will provide you with the information you need to accurately and easily maintain your receivables. Multiple sort and filter options give you excellent flexibility.



Check Reconciliation

MBA Series 3 Check Reconciliation helps you conveniently and accurately balance your bank accounts with your bank statements. For each bank account, all of the transactions entered within the various MBA Series 3 modules can be reconciled at the same time. These transactions include checks written in Accounts Payable or Payroll, cash receipts entered in Accounts Receivable, and transactions entered in the General Ledger.

Only transactions on or before the date you specify will be displayed for reconciliation. Similar to most bank statements, checks are listed separately from other account activity, which enables you to select items by following the order of your bank statement. Selecting and deselecting an item for reconciliation is as simple as a click of the mouse. You may also select or deselect all items at once. When the difference between the cleared balance and ending balance becomes zero, your account is balanced to your statement. If you are unable to finish the reconciliation, you can save your work and continue at a later time.

Adjustments to provide for bank fees, interest earnings, etc. can be entered to keep track of items not yet recorded in the General Ledger. Any adjustments entered will be written into your General Ledger upon completion of the account reconciliation. At the end of the reconciliation, three reports are available. The first details the reconciliation you just completed, which can be reprinted until you complete the next reconciliation. The second report lists the remaining un-reconciled items for comparing your bank account's current balance to the General Ledger bank account balance. The third report prints a combined check register for those who use the same bank account for both Payroll and Accounts Payable.



Payroll

If you want to maintain control of your payroll and payroll taxes, MBA Series 3 Payroll is the solution. Through sophisticated employee tracking, fast paycheck generation, and comprehensive reports, Payroll can deliver greater control and lower your operating expenses.

Payroll transaction entry allows for rapid data entry, yet is flexible enough to handle the exceptions that inevitably arise. Once the employee, department, and payroll record information is set up, Payroll can automatically calculate your checks. You simply review and edit your employees' checks as they are calculated. Federal, State, and Local taxes are automatically computed, as well as FICA, FUTA, SUTA, and SDI deductions and liabilities. The Preliminary Check Report allows you to verify the accuracy of your pay run before printing check batches. Liability and Quarterly reports are invaluable aids in filing reports to taxing authorities.

Multiple payrolls within the same company, each having user-defined earning and deduction categories, may be maintained and processed. Payroll checks can be calculated for both salaried and hourly employees based on pay periods ranging from weekly to quarterly. Several preprinted check formats are provided, or you can use Direct Deposit to have employee's checks deposited into their bank accounts. Checks can also be printed on blank check stock using our special MICR interface.

All Payroll transactions can be posted to the Series 3 General Ledger, keeping your financial statements accurate and up-to-date. The departmentalized postings can be specified as either in detail or summary format.



System Manager

The Series 3 System Manager integrates and controls the functioning of your entire accounting system. Some of the features included with this package are: Multi-company, a Data Utility program, a flexible Security System, a Backup Utility, Year-end Wizards, a Setup Wizard, and a Data Repair Utility. The System Manager is available for either single-user or multi-user environments. It is compatible with any Windows XP or newer operating system.

Multi-company provides the capability to maintain books for an unlimited number of companies, and also to keep data for previous years for your main company. The General Ledger Chart of Accounts can be copied from one company to another in its entirety or by a range of account numbers. The program also allows consolidation of companies for financial reporting. The Year-end Wizard simplifies your year-end process by walking you through each of the steps.

The Setup Wizard walks new customers through all of the steps needed to help you get started in MBA. The Database Utility allows you to view and edit MBA data files. It is designed to give you access to these files outside of a normal application. It also allows you to perform mass data updates,detailed file analysis, data export, plus a variety of file sorting options.

An extensive application security system provides you with an easy method to set up security for all users. User codes, passwords and access rights can be provided for each user. Security can be turned 'On' for the system, allowing only those users assigned rights to access certain menu selections. Access rights can be set up for each menu selection within each application.

All of these tools are provided to help simplify your accounting tasks, and make you more efficient in your business.
